Accounts Payable & Payroll Specialist

Long Island, NY | 60 – 80K (DOE) Full-Time, Onsite

Position Overview

We are seeking a detail-oriented Accounts Payable & Payroll Specialist to join our finance team. This dual-role position is critical in ensuring accurate vendor payments, smooth payroll processing, and compliance with financial and tax regulations. The ideal candidate thrives in a fast-paced environment, balancing precision with efficiency, while supporting both employees and external vendors.

The Ideal Candidate

• Strong background in accounts payable and payroll processing

• Knowledge of compliance requirements (FLSA, state/local tax, garnishments)

• Proficient in payroll platforms (ADP, Paychex, Gusto, QuickBooks Payroll, etc.)

• Analytical, highly organized, and detail-driven

• Discreet and trustworthy with sensitive financial information

• Effective communicator with strong interpersonal skills

Key Responsibilities

Accounts Payable

• Receive, verify, and reconcile invoices with accuracy

• Perform invoice and GL data entry, applying correct accounts and documentation

• Track payment schedules and process vendor payments via checks, ACH, or online portals

• Manage vendor W-9 information and prepare year-end 1099 reports

• Reconcile AP reports, ensure credits are applied, and generate purchase orders as needed

• Oversee cash flow, fund transfers, and employee reimbursements

Payroll

• Process bi-weekly and monthly payroll cycles accurately and on time

• Review timesheets, compute earnings/deductions, and ensure compliance with federal/state laws

• Maintain payroll records and employee data

• Respond to payroll-related employee inquiries and provide timely resolutions

• Handle off-cycle checks, bonuses, terminations, and adjustments

• Prepare quarterly/year-end payroll filings (W-2s, 1099s, etc.)

• Stay current on payroll tax laws and compliance requirements

Qualifications & Must-Haves

• 3+ years of experience in accounts payable and payroll processing

• Proficiency in payroll and accounting software (ADP, Paychex, Gusto, QuickBooks Payroll, etc.)

• Strong knowledge of payroll compliance and AP best practices

• Advanced Excel skills and high accuracy in data entry

• Excellent time management, organization, and problem-solving abilities

• Strong attention to detail and confidentiality
