Your Role:

As a  Virtual   Executive Assistant – Digital Marketing , you'll play a critical role in supporting digital marketing and operational functions for a dynamic marketing agency. Your responsibilities include:

• Monthly Reporting: Prepare accurate and professional reports through diligent note-taking, data integration, and spell-checking.
• Onboarding Support: Set up Slack channels, Asana projects, and duplicate essential documents for seamless onboarding.
• Task & Project Management: Manage Asana tasks and projects based on incoming emails and priorities.
• Phone.com System Maintenance: Oversee system updates, add personnel, and adjust holiday schedules for seamless operations.
• Lead Tracking & Sales Data Management: Record lead sources and input data into sales spreadsheets for informed decision-making.
• Platform Audits: Conduct audits on platforms like Bright Local, exclusivity trackers, and GBP Manager to maintain compliance and efficiency.
• Vacation Schedule Coordination: Schedule reminders, track team availability, and communicate time-off plans.
• Client Relationship Management: Maintain client records, track new clients and cancellations, and update sales formulas.
• Website Enhancement: Improve the company's online presence by formatting blogs, ensuring consistency in style and tone, and overseeing minor website updates.
• Onsite Work : Lead onsite work on websites with fully templated tasks, no writing required—leveraging ChatGPT and spell/grammar checkers (full training provided).
• Inbox & Calendar Management: Monitor executive emails, manage bookings, and create tasks in Slack and Asana.

What You'll Need:

• 2+ years of administrative or marketing support experience.
• Strong organizational and multitasking skills to handle multiple priorities efficiently.
• Excellent written and verbal communication skills to ensure accuracy and professionalism.
• Familiarity with tools like Harvest, Asana, and Canva (or a willingness to learn new systems).
• High attention to detail and accuracy in data entry and reporting.
• Ability to work independently in a remote setting while maintaining strong collaboration with the team.
• Experience in digital marketing or SEO is a plus.

• Competitive Salary: $1,000–$1,100 USD per month, depending on experience.
